Exhibitor FAQs

 What is my booth number and where is it located on the show floor?
Booth assignments are provided by the show director prior to the event. Before the event, you will receive an email with your booth number and a map of the floor. Please note that booth placements are made at random with consideration to sponsorship, size, and category of business.  No location is promised and all spaces enjoy equal traffic. 

 

 

 

What time can I start setting up my exhibit? 
Set up time for booths begin at 8:00AM. Booths MUST be set by 11:59AM or the exhibit table and space will be taken down promptly. Final Check in for booth set up will be at 11:15AM and No exhibitor may set up and check in past 12:00PM in the exhibit hall. 

 

 

 

How and where do I check in? 
Exhibitor check-in and registration will be located in the main exhibit hall. Every exhibitor must check in to receive their packets and wristbands. 

 

 

How many people may I have at my booth? 
If you purchased one booth, you will receive two exhibitor passes. If you purchased a double booth, you will receive four exhibitor passes. Additional exhibitor passes can be purchased online. 

 

 

May I provide food and drinks at my booth? 
Due to hotel policy, you may not provide outside food and beverage at your booth. You may, however, provide candy and your drawing prize may be a sealed beverage or sealed food item. 

 

 

How do I arrange for power or AV at my booth? 
Power and audio-visual at your booth may be requested directly from the hotel filling out the PSAV Rosen Centre Exhibitor AV & Power Order Form and sending it to RCExhibits@psav.com. Please make your request in advance to ensure that power is available at your booth! Fees for power and AV are additional and paid directly to the hotel. 

 

 

How do I transfer in my large items to the exhibit hall? 
Exhibitors are permitted to use the hotel’s loading dock area for large items (see attached map for the location of the loading dock). For those with smaller items to transport, parking at the hotel is easily accessible to the exhibit hall. 

 

What type of props can I bring for my booth? 

NO large tailgating tents or large scale rigging is allowed at the table/booth due to fire codes. No beverage or food machines such as popcorn machines, Slurpee machines, cocktails, etc. 

 

What time can I break down my booth? 
4:01PM is the breakdown time in the Expo Hall. Should you break down earlier you will forfeit the right to exhibit in 2020.
